How it works
The day
- 8am–12 noon cutoff Sellers bring their items and set
up their lots.
Buyers register at the office at the PCYC hall and look around. - 12 noon The auction starts. No vehicles in the auction area until it ends.
- 4pm at the latest The auction ends. Vehicles may come in to collect.
- 4:30pm cutoff Last payments: everything bought is paid for.
- 5pm cutoff Everything has left the ground, bought or unsold.
- This is an outdoor event.
- Food and drinks to buy.
- No dogs in the auction area, 8am–5pm.
- Keep off the ovals: no admittance.
Selling
No listings, no photos, no haggling. Bring your items to Pembroke Park on Sunday 22 November, set up your lot, and the auctioneer sells them for you.
- Bring your items on the day, 8am until the 12 noon cutoff. Anything you can carry, wheel, unload from a car or trailer, or drive. Larger items — trailers, boats, caravans — are also welcome. Enter via Arthur St and follow the one-way route, anticlockwise around the ovals. The goods receiver will show you where to drop off your items.
- Fill in a registration form on arrival. It is how we pay you. Check all the details and sign the form: signing agrees to the terms and conditions on the back. Want to bid too? Tick buying as well as selling.
- Place your items on the ground in your allocated lot. Write each item on your lot sheet, with any faults; the goods receiver checks each item with you. Check all the details and sign the lot sheet to confirm what you have left for sale. Then park in seller parking — this is not a car boot sale — and take both pages to the office at the PCYC hall.
- The auction runs. You are welcome to stay and watch, or place a bid or two, but you do not have to.
- You are paid by bank transfer on Thursday 26 November. Rotary keeps its 15% commission, which goes to community projects. An item that sells for under $10 becomes a donation to Rotary. There is no fee for an item that does not sell.
- Unsold items must go home with you by 5pm. Anything left after that, you will be charged what it costs Rotary to dispose of it.
Items not accepted for sale
- Firearms or weapons
- Alcohol or tobacco
- Live animals
- Anything subject to a product recall
- Cots, prams, bunk beds, bicycle helmets, toys for under-3s, and other goods that must meet a mandatory Australian safety standard, unless you can show that they do
- Tyres
- Anything Rotary considers unsuitable
Rotary's decision on whether to accept an item is final.
Electrical goods are accepted only if tested and tagged within the last 12 months, or if they carry Rotary's ‘untested’ sticker. Anything with the sticker must be checked by an electrician before it is used.
Good to know
- Items are sold as they are on the day. Describe them honestly and tell us about any fault you know of.
- You must own what you sell, or have the owner's permission to sell it.
- Your items are yours until sold; they stay at your risk while they are on site; and Rotary is not responsible for loss, theft or damage.
- You may set a reserve price on the lot sheet, but most items sell best without one. An item that does not reach its reserve is unsold and returned to you.
- Your details are used only to run the auction and pay you; they are kept by the Rotary treasurer; and they are destroyed once you have been paid. Tick the box on the registration form and Rotary keeps just your name and email to tell you about future Rotary auctions and events.
Buying
Turn up, register, bid. Everything you buy is paid for and taken home the same afternoon.
- Register before you bid. You cannot bid without a bidder number. Register at the office at the PCYC hall with your name, phone number and email; you must be 18 or over. Every bid made with your bidder number is yours. Already registered as a seller? Tell the office: you will not need to sign again.
- Have a look before the bidding starts. Everything is sold as it is, with any faults. Inspect before you bid — descriptions are given in good faith by the owner and are not guaranteed by Rotary.
- Bid. The auctioneer runs the bidding and sets the increments. When the hammer falls, the highest bid the auctioneer accepts is the buyer and the sale is done. You can withdraw a bid only before the hammer falls.
- Pay at the office before you take anything. Cash, card or bank transfer, with no card surcharge. Paying by bank transfer? Use your bidder number as the reference and show the office your bank's transfer receipt. Pay by 4:30pm, or Rotary may treat the sale as cancelled.
- Take it with you by 5pm. The auction is on a football ground and nothing can stay overnight. Bring the ute, the trailer and the mate — Rotary does not load, deliver or store your items. No vehicles are allowed in the auction area from 12 noon until the auction ends (4pm at the latest), so anything that needs a vehicle is collected after the auction. Paid items not removed by then are treated as abandoned.
Good to know
- The price is the hammer price: no buyer's premium, no GST.
- Items are offered by their owners through Rotary, which acts as the seller's agent. Rotary's commission funds its community projects.
- Electrical goods have either been tested and tagged within the last 12 months, or carry Rotary's ‘untested’ sticker. Anything with the sticker must be checked by an electrician before it is used.
- The moment the hammer falls the item is yours — including the risk. If it is damaged, lost or stolen after that, it is your loss, not Rotary's or the seller's, so collect what you buy and keep an eye on it.
- Your name, phone number and email are used only to run the auction and to contact you about a lot you have bought, and are destroyed after the auction is reconciled. Tick the box on the registration form and Rotary keeps just your name and email to tell you about future Rotary auctions and events.
- Rotary may take photographs for its newsletter and social media. Tell a club officer if you would rather not be photographed.
Everyone signs the same terms and conditions when they register on the day; they are printed on the back of the registration form. If you have questions before then, email secretary.sorell@rotary9830.org.au.
